On today’s episode of The Ops Authority Podcast, I’m reflecting on how The Ops Authority has navigated the challenges of 2024 and leveraged the Four-Quadrant Framework to optimize our operations. I’ll walk you through the key areas we’ve focused on, identifying strengths, weaknesses, and opportunities for growth in our business. From adapting our team structure to launching new products and improving our financial management, I’ll share the strategies that helped us thrive this year. Whether you’re an operations professional or a business owner, I’ll also discuss our strategic goals for 2025 and the lessons we’ve learned to continue building a sustainable, resilient business.
Embracing The Four-Quadrant Framework
The four-quadrant framework is about what is working, what is not working, what is missing, and what is confusing. As an operations professional, you can apply this framework to various aspects of business, such as marketing, operations, or individual team members. Systematic reflection helps you identify strengths, weaknesses, and areas for improvement in your operations business.
What We’re Celebrating
- Business Resilience in Tough Markets: The Ops Authority is thriving despite the economic challenges we’ve experienced in 2024, demonstrating our adaptability and perseverance.
- Team adaptation and growth: We addressed changes in outsourcing and staffing by replacing our independent contractors with in-house roles, such as upgrading an assistant to an operations coordinator.
- Experimenting with a copywriting role: Our team tested hiring a dedicated copywriter to offset work from our marketing manager but reverted to in-house management due to inefficiencies.
- Team tenure and culture building: Five team members have been with The Ops Authority for three years, a rarity for small businesses and this economy. Long-term team members are valuable, and we credit this tenure to having a positive and grace-filled work environment.
- Financial management improvements: We have brought in financial functions in-house after our previous CFO shifted focus. This move has saved costs, enhanced internal financial clarity, and boosted operational efficiency.
- A new brand ambassador role: We have introduced a brand ambassador to improve customer engagement and trust. This role is a hybrid of connection, engagement, and deepening with potential clients across platforms, reinforcing our value of personalized service.
- Launch of the Ops Academy: We successfully tested a new, lower-cost educational product for upskilling operations professionals. Based on the positive feedback and sales, we believe there’s a need in the market.
- Enrollment growth and achievements: The Ops Authority stayed steady and welcomed 72 new students to the certification program in 2024, surpassing last year’s count of 71. This increase shows our reputation as a trusted source for operations education.
- Streamlined launch processes: We focused on proven simplified launching methods that reduced the content creation strain while maintaining effectiveness.
- Prioritizing legacy and well-being: We replaced a planned summit with a simpler event to avoid team stress and align with core values. This decision was influenced by personal factors, emphasizing the importance of maintaining a work-life balance.
- Program improvements and leadership: Adrienne’s role as program manager has enhanced the certification program with continuous refinements based on feedback and observation. Her leadership ensures the program remains “best in class”, contributing to student satisfaction.
Insights And Lessons We Learned
We organically quadrupled our monthly leads by expanding outreach beyond launch events. The lesson here is: Always stay in conversation with your prospects because you never know when you’ll need them.
Our Strategic Goals for 2025
- Our plans for 2025 include maintaining our core certification program, launching a new client-acquisition challenge, and organizing an alumni mastermind retreat. These initiatives aim to expand our educational reach and enhance community engagement.
- Becoming the Gold Standard Marketplace: In 2025, we aim to create a more accessible operations education platform for operations professionals and a marketplace for alumni contributions.
Spend time to reflect on what is working, what is not working, what is missing, and what is confusing. As an operations professional or business, it’s time for you to evaluate your mission, vision, and values regularly.
