There’s nothing like being in a room of high-level, strategic thinkers, especially when you share a common language and operational foundation. I recently had the privilege of hosting 16 brilliant DOO alumni at our mastermind retreat in Austin, and the connections, insights, and transformation were incredible. In today’s episode, I want to share 10 of the biggest mastermind topics that surfaced during our time together. These conversations are raw, real, and incredibly useful if you’re navigating the operational space as a service provider or leader.
Curated Pods for Deeper Connection
We intentionally grouped the retreat attendees into three pods based on business model, experience level, and current challenges. Keeping those pods consistent throughout the retreat proved transformational. The depth of conversation and feedback only grew stronger over time, allowing each operator to get deeply seen and supported. This intentional structure brought so much more than networking; it created a space where each mastermind topic was explored with depth and clarity.
Get In the Room
Before I even dive into the list, let me remind you of this: get in the room. Every attendee took time away from their families and businesses to be present, and without exception, they found it transformational. If you’re looking for alignment, clarity, or elevation, community and proximity are the fastest way to get there.
10 Mastermind Topics That Emerged From Our Retreat
These are the exact mastermind topics that were discussed by real operators who are growing their businesses and refining their strategies in real time. Let’s break them down:
- To agency or not to agency – This conversation came up when one operator considered transitioning out of implementation and into strategy. We explored whether building an agency was aligned with her season of life and discovered the real motivation behind the decision was about reclaiming time and health, not managing people.
- Creating a strategy for your own business – If you’re too busy serving your clients to strategize for yourself, you’re not alone. Prioritize a half day (or more) every month to focus on your business growth.
- Turning one-time projects into recurring offers – Especially if you’re using the Strategic Mapping Model™, there’s gold in offering quarterly follow-ups. Don’t overlook existing or past clients; they’re your best future leads.
- Avoiding over-delegation of authority – One attendee realized she had given a teammate too much power in her business. We talked about reclaiming vision, honoring growth, and recognizing when a business needs to evolve away from past dynamics.
- Showcasing ROI – Weekly reporting, clear documentation, and case studies were all part of this mastermind topic. You can’t raise your prices or attract higher-level clients if you’re not clearly communicating your value.
- Local visibility strategies – If the online space feels crowded or inconsistent, go local. A simple flyer and some in-person networking can move mountains. Simplicity often equals speed.
- Serving clients on nights and weekends – For side-hustlers and corporate operators, finding clients who operate during the same timeframes creates mutual alignment and removes pressure.
- Pricing your services with clarity – We talked about how to adjust pricing to meet the market without compromising your income goals. It all starts with knowing your numbers and the minimum you need to thrive.
- Phasing out poor-fit clients – When you’re growing, not every client will come with you. Give yourself a 90-day offboarding runway and stagger transitions so your business stays stable while evolving.
- Serving your client’s clients – Some DOOs are delivering work not only for their clients, but for their clients’ clients. We talked about having clear contracts, a defined scope, and an easy way to scale using per-project pricing.
Each of these mastermind topics came straight from the mouths of experienced operators. These weren’t theoretical. They were deeply relevant and often emotionally charged decisions being worked through in real time.
What This Means For You
I hope this list inspires reflection and action. Whether you’re shifting your offer, setting new prices, or restructuring how you work, you’re not alone. These mastermind topics are windows into what’s really going on behind the scenes in operational businesses right now. Take what serves you, reflect on where you might be over-serving, and don’t forget that your best growth often comes from being in community.
