How Raquel Castillo Fired a Client Who Paid Three Months in Advance

308 How to fire a client

Have you ever taken on a client because the money felt too good to pass up, only to dread every call a few months later? I have been there, and so has my guest. Raquel Castillo joins me to talk honestly about how to fire a client when your values no longer align, and more importantly, how to stop making that mistake in the first place. We get vulnerable about the engagements we said yes to too quickly, the boundaries we wish we had set, and the one tool that completely changed the way we both choose who we work with.

Meet Raquel

Raquel Castillo is a Fractional Chief Operating Officer (COO) and Integrator for companies running an Entrepreneurial Operating System. She specializes in business operations strategy, helping founders implement scalable systems, strengthen team accountability, and move from reactive decision-making to intentional execution. Her work focuses on building businesses that run smoothly with clarity, consistency, and less day-to-day dependence on the CEO.

She is also the creator of Fractional Launch Lab, where she helps experienced operators transition into high-impact fractional roles. Raquel teaches an outcomes-over-hours approach, positioning operators as strategic partners, not just doers, so they can drive meaningful results, increase their earning potential, and build careers that align with both their expertise and their lives.

The Client She Had to Let Go

Raquel opens up about a client who looked flawless on paper. They were a large organization, they paid three months in advance, and on the surface, it was the dream engagement. But within months, the cracks started to show. The owner was disrespectful toward their team and, at times, toward Raquel, which clashed directly with her core value of mutual respect. Despite the income, she made the hard call to walk away. This is exactly the kind of moment that teaches you how to fire a client, not out of drama, but because staying would have cost her far more than the revenue was ever worth.

Why We Say Yes Too Soon

Here is the truth we both had to admit: people hide their crazy on the first call. A discovery call only shows you someone’s best self, the same way you meet a person’s polished version at a networking event. As operators with servant hearts, we are quick to say yes, especially when we need the cash. But that is precisely how we end up tangled in relationships that drain us. Learning how to fire a client really starts with understanding why we onboarded the wrong one to begin with, and giving ourselves permission to slow down before we ever commit.

The Tool That Prevents Bad-Fit Clients

After firing that client, Raquel asked herself a powerful question: how do I never do this again? The answer was our Strategic Mapping Model™ Consultant License. She now uses it as a non-negotiable prerequisite before any fractional engagement. Beyond being a delivery offer, it has become her decision-making tool, giving her three to five sessions to truly understand a leader, their business, and whether their values align with hers. It is the best vetting process I know. When you build that step into your process, you rarely have to wonder how to fire a client, because you stop hiring the wrong ones in the first place.

Setting Boundaries Before You Begin

What I love about Strategic Mapping™ is that it sets the tone from day one. Instead of getting pulled into the weeds the moment a client senses you have no boundaries, you come in at the strategic level and earn mutual respect. You deliver real clarity, a prioritized 12-month plan, and an experience clients describe as thoughtful and intentional. You also learn whether they truly need you or whether they need an implementer instead. That kind of upfront alignment protects your energy, your evenings, and your weekends. Boundaries are not only about knowing how to fire a client; they are about designing engagements you never want to leave.

Knowing When to Walk Away with Grace

Raquel reminded me that ending a client relationship does not have to be ugly. Sometimes the Strategic Map™ simply reveals that a leader needs an implementer rather than a strategist, and you can graciously hand them off to someone better suited to what they actually need. Other times, a values mismatch means the journey ends after the mapping engagement, and that is okay. You still delivered excellence, you still earned your return on investment, and you preserved your peace. That is the heart of how to fire a client with grace: leading with integrity, honoring the relationship, and trusting that releasing the wrong fit always makes room for the right one.

“The value that you bring from being a thought partner at a strategic level is high value that is irreplaceable.” — Raquel Castillo

If this conversation lit something up for you, I want you to know there is a path to having exactly what Raquel has. A defined offer, a strategic seat at the table, and a framework that earns you the right clients before the real work ever begins.
